Data we will keep if you make an initial enquiry

If you contact us by email or by telephone we will keep an internal record of your name and email/phone details so that we can handle your enquiry effectively.

Data we will keep if you are purchasing from us

If you give us your address we will store this information. We are required to do this for insurance purposes if you have an item on trial and for accounting purposes (because we use the VAT margin scheme) if you purchase something.

If you would like to have an item on trial from us we need to have a copy of your photo ID/proof of address for insurance purposes. We will keep this on file in case you wish to try a further item, but will delete it after a maximum of 12 months.

If you purchase something from us we will keep a record of what you have bought. This can be useful if you ever need evidence of what you purchased (for instance for an insurance claim) or if you come back to us wanting to upgrade your instrument or bow.

If you have sent us a review and/or a photo for publication on our website we will send you a link to the page on which we publish it and invite you to make any corrections. We may also ask for permission to publish the review on social media such as facebook, but will not do so without your consent. If you wish to alter your review or have it deleted at any time we will do this promptly.

What we don’t do

We do not keep customer bank details. If we need details of your bank account (for instance if we are making a payment to you) we will input those details into our bank’s online system and then delete our own record of them.

We do not pass on data about customers for use by third parties.

We do not hold or process any sensitive personal data about our customers (as defined by Section 9 of the General Data Protection Regulation).

Email newsletter

You can sign up to receive our email newsletters via our website or facebook page. If you do this you will be asked only for your email address and what type of instrument you are interested in. MailChimp is our marketing automation platform and they will process this data in accordance with their privacy policy.

We do not add people to our email list without their consent. You can unsubscribe from the list at any time by clicking the link at the end of one of the emails or by contacting us directly. We do not allow other people to use the list.

If you would like to know what information we hold about you or ask us to remove your details from our records please email anna@martinswanviolins.com. Technically this is known as a ‘Subject Access Request’ and Anna Ashmole is the ‘Data Controller’. We will respond promptly.
